Job Overview: The position of Benefits & HRIS Administrator is responsible for responding to employee inquiries, participating in open enrollment
activities, and administering benefits and employment information on various HR systems (ADP and vendors). This position is the “go-to “ person
to answer employee’s questions about all benefit offerings and is responsible for auditing employee and benefit data in ADP in an accurate and
timely manner according to established guidelines. This position supports the efforts of the Benefits Manager, the HRIS Manager and the HR team
as needed.
Job Responsibilities:
Oversee and perform tasks related to Human Resources/Benefits information, including data entry, retrieval, and generation of standard and ad hoc reports and
forms, and daily entry of all personnel information changes into HRIS system according to data standards.
Respond to and follow up with employee inquiries in a professional and timely manner; if necessary, research and document conversations and process.
Conduct weekly benefits new hire orientation in person and via web based meeting technology.
Continually look for and bring forth ways to enhance benefits and wellness communication and understanding to new hires and existing employees. Coordinate
flu shot/wellness fair
Provide leadership in the development and implementation of Human Resources-Payroll-Benefits processes and documentation, both manual and systembased.
Recommend system improvements to improve efficiency of processes, as needed.
Work with carrier/payroll to correct issues that affect participants. Notify Benefits Manager of the issue and offer possible solutions; act as a liaison for employees
with insurance carriers
Perform quarterly data audits to ensure compliance to data standards; Audit new enrollments and life event changes to ensure ADP elections are received timely
and accurately; Conduct I9 audit to ensure documentation is correct and current
Work with Field HR and Payroll Department personnel to ensure data timeliness, accuracy and integrity. Troubleshoot and resolve issues in a timely manner.
Serve as a liaison with third-party vendors for complete and accurate data entry/file transmission; prepare and reconcile monthly billing for benefits vendors.
Download employee FSA payroll deferrals each pay period and forward to third party administrator on a timely basis
Maintain benefit files and coordinate various email/mailing compliance projects
Administer transit benefits via ADP benefit deductions and work with HR coordinators in various locations
Participate in open enrollment activities including planning, preparing materials, system testing, file audits, entry of elections at vendors post open enrollment,
and audit of elections.
Monitor rehires and calculate 401(k) match eligibility; download and audit 401(k) reports, including delinquent loan payments and lost participants; qualify
hardship withdrawals and audit weekly changes reports; reconcile and process quarterly 401(k) administration billings
Administer and answer questions about COBRA; notifying carriers of changes in participation in a timely manner; send Termination of Benefits Notice to any
participant when COBRA payment is not made in a timely manner; forward COBRA checks to Accounting; verify all checks are recorded correctly
Send monthly files to ADP health compliance for ACA reporting; Audit and correct annual 1095-Cs
Complete other duties as assigned
2 year degree with two plus years’ experience working in benefits, human resources, HRIS, payroll or related area; or a combination of education and
experience to meet the requirements of the position
Strong customer service orientation and interpersonal skills
Strong analytical and PC Skills (including knowledge of Microsoft suite)
Prior experience working on a complex HRIS system; ADP highly preferred
Excellent written and oral communication skills
Exceptional organization skills and attention to detail
Ability to interact with employees at all levels within the organization as well as with outside vendors
Demonstrated ability to handle sensitive and/or confidential information in a professional manner
Updated knowledge of Benefits and HR Systems
